July 2002 Alumni Council Reunion Meeting Minutes

TO DO LIST
1. Get newsletter content for Jackie. Her deadline is Friday, July 12th. Try to get pieces before that: Tuesday or Wednesday the 9th or 10th.
2. Forward Rebecca Hart’s email address to Erika.
3. Help get volunteers for an hour during Reunion. Direct volunteers to Stephanie.
4. Prepare talking points if there’s stuff volunteers should know about your committee.
REUNION
Focus of Reunion should be on reconnecting with old friends, visiting the place and have a positive experience. We’re not going to actively promote ourselves or fundraise. Strategically, our plan is to organize a great day, which will hopefully remind people why they love Buck’s Rock and the Buck’s Rock community. We’ll contact people soon after the event, while the sense of affinity is still freshest, with simple promotion and/or donation follow-up.
We’ll prepare some talking points so that if people ask, all volunteers know what we’re doing and are on the same page.
We sent out 2,000+ postcards (props to Jackie for designing them); RSVP’s are online and on cards. Don’t know how many people to expect yet.
DIRECTORY
We want to create a directory. When people arrive, gather info: name, address, email, phone number, etc. (Ideally, we’d like to enter it into a computer immediately.) Let’s do this in the parking lot, not at camp. We should include an assurance that info won’t be sold. Optional questions: Do you want your info omitted from directory (listing/omitting is free)? Do you want to receive a hard copy of the directory (nominal fee for shipping)?
CONCERT
Erika will organize all aspects of the concert. We’d like to do it on the Lawn (seeking approval) and if not the lawn, then the Music Shed. Music Shed says give them a couple days notice of what we’re bringing and what we need and they can take care of the rest. LSD and perhaps Studio 54 will help out with the concert (Jeffrey will confirm this.)
NEWSLETTER
Jackie needs content from about half a dozen people. In specific, she’d like info and reflections for each decade. Roberta Berger would like to assist with newsletter and camper (or JC?) named Jonah Rosenberg wants to write an article on FOBR concert for newsletter. Stephanie should handle anything that goes on the BR website.
EVENTS OF THE DAY
11:00… shuttles to camp begin
12:00… buffet lunch with signs for decades to congregate together*
Post-lunch… unveiling the mural**
1:30… alumni-camper improv at the Clown Shop
2:00… alumni softball match
2:30 – 4:00… concert, perhaps ending with big guitar snack
5:00… last shuttle from camp
*Juliet and Jeffrey will take care of the signs.
**Rick is working on a mural by campers and staff. It’ll be a surprise. At reunion, alumni can work on tiles or a frame.
Also going on:
- Staff works and words
- Shops open for alumni and campers
- Juggling and clowning open all day
FUNDRAISING POSSIBILITIES
- Selling t-shirts designed by Britney Speaseman (sp?)
- Quick fundraising follow-up after Reunion

NUTS AND BOLTS
Fleet Bank/Summit Bank open for business until 12pm. Reunion starts at 11am. Need to remember to start people parking away from the bank before 12pm and don’t block the drive-through ATM at any time.
Need volunteers at parking lot 10:30am – 2pm. Shuttles to camp begin 11am. Shuttles from camp end 5pm.
Arrivals: Lew and crew will be there on the 19th. Rest of us should come early on the 20th. Stephanie is staying at the Twin Tree and Charlie has block of rooms at Danbury Hilton. There’s also the Heritage Inn, a higher-end hotel, and some lower-end places North of New Milford on Rt. 7. The B & B’s in the area are booked.
