Meeting Minutes
April 11, 2002 7:00 PM: Alumni Council Meeting
In attendance: Jeffrey Paul Bobrick, Lisa Wanderman, Stephanie Segal Hartman, Ivan Rubinstein-Gillis, Eric Weiss, Charlie Ledley (via phone), Juliet Ross (via phone)
The majority of the meeting was spent discussing the concert on April 21st. There was a brief report from fundraising and then the rest concentrated on the concert.
Stephanie:
There are still a few checks straggling in from the February fundraising mailing. Once we have acquired our tax status from the IRS we will plan another fundraising mailing with a more nostalgic upbeat letter.
We are looking into merchandise possibilities for the future, namely the reunion. Russel Steinberg and alum has a promotions business and has very graciously agreed to print stuff for us at cost.
He has received the logos from Jackie and we will try and come up with some ideas that would incorporate the logo.
Additionally, Erika Blumberg has proposed the idea of creating a CD with music/poetry from alumni. This would be a great fundraiser because it would be relatively easy to produce and we could change it every few years, since there are so many talented alumni to include in such a project. So we will be exploring this project more in depth in the coming months.
Ivan: The concert is in 10 days and we do not have a good showing as of yet.
Stephanie: Have we given Triad a guaranteed minimum or do we pay per person?
Ivan: We have given no minimum, but we do want to have decent crowd, not for Triad, but for the performers and for the event to be a success, public relations wise.
Everyone needs to start making phone calls and emailing people to get the word out to encourage people to either purchase tickets ahead of time or to call our newly set up reservation line.
The idea was since we want to make sure we have a good showing, we will set up a reservation line that people can call and leave their name and request for tickets.
There will be an answering service and someone will have to check the reservation line and then compile a list that can be combined with the names we already have.
Lisa: There was a price difference if you bought prior to the concert or if you paid at the door are saying a reservation guarantees you the lower price?
Group: A discussion is had over the price and what to charge and it is decided that people who call the reservation line or uses Pay Pal prior to Thursday, April 19th will get the $30 price anyone calling after that would pay the $35 price and the answering machine message would either be changed on Friday or the original message would indicate the price differences.
Ivan/Charlie: the reservation line is 1-800-my-yahoo and then you put in the #917-613-0111 (charlie’s cell).
Ivan: I suggest we try and use a similar “schpeel” when call people. Here is a sample: “hello this is __________ calling to say hi . Just wanted to be sure you knew about the concert on …. To get ticket call….” It is going to be wonderful event, I hope to see you there.”
If you think someone will be contacting some of the same people you are please email them or the group so that we don’t bombard people.
As far as the logistics of the show we have several volunteers, Juliet Ross, Malka Fennyvessi, Sam Hack and Sam Kusnetz. Sam and Sam will be working the stage and Juliet and Malka will be working the door.
Juliet: Who will be taking the money and how is the door set up?
Lisa: There is a little area upstairs where people can stand to take tickets/money
Stephanie: Juliet I will be taking care of the money, as will Bob. We will set it up so that you and Malka are greeting people and handing out programs and perhaps drink tickets to pre-paid guests.
Ivan: Roger Bailey will be the MC. The show is going well and we have Casey Solomon as well as Kathy Marfino to add to the female presence of performers and they will be in the finale.
Jeffrey: That’s excellent, Ivan. Jackie is working on the programs. Ivan will need to get her the text regarding the performers and Stephanie will provide the text regarding the organization. Once Jackie has it all set up, Alex will be printing it.
Ivan: People who are volunteering or in the show should be there around 2 p.m.
Jeffrey: Okay, everyone do your best to round up people and sell tickets. I have no doubt that we will have a good showing, but we want to be sure. The performers are going to be wonderful. It will be a great afternoon for all those attending. Big thank you’s to Ivan for all his work in coordinating the show. You have done a fantastic job.
Lastly is the Reunion, Lisa.
Lisa: The 60th Reunion is planned for Saturday, July 20th at camp. We are going to be working with Mickey to help with some of the programming for the day and try and plug ourselves into the day he already has planned.
Future meetings regarding this will follow after I have had a chance to talk more with Mickey. Anyone interested in helping let me know.
Jeffrey: Okay, future meetings: Next Executive Committee meeting May 9th at 7 p.m. Next Alumni Council meeting May 30th 7 p.m.
