2/27/02 ALUMNI COUNCIL MEETING

1. Introductions and Initial Planning
Ivan and Alex are setting up a weekend meeting (3/3) to firm up concert and related promotion activities for the April 21st fundraiser. They will be joined by Erica. Everything looks good for this.

2. Executive Director’s Report: Jeffrey Paul Bobrick
FRIENDS OF BUCK’S ROCK is successfully connecting with many who couldn't participate in Ernst’s memorial but who could be enthusiastic participants in the 60th Reunion. Many are expressing support and interest in letters and calls e.g. Jim Hausman (1981-1984) reported on the glass bones that were made during his years calling for a reunion in 2003. Fred Yockers ( 1966-77 & 1990-91), a self-identified “aging hippy,” wrote thanks for keeping all the Buck’s Rock legacy going.
We will be working on finding someone who can act as a database coordinator with an exclusive focus on this time consuming but vital activity. Initially, Catherine was dealing with the database, but this project is so cumbersome and Membership has other areas it needs to focus on, we have decided to separate out the database. Mark Richter was mentioned as a possibility, if he was interested in this sort of thing. Juliet is getting ready to send out a letter soliciting more volunteers for specific committee duties.

3. Business Report: Bob Solomon
Stephanie’s fundraising letter was sent out and donations are arriving daily. 15 envelopes with checks to date. 7 returned envelopes with need for address corrections. Special Thanks to Peter Goldman for a $500 gift. The bank account is almost opened. All signature cards have been signed. PayPal will soon be hooked up. There already is $116 on the machine. We will use a Quicken program to handle the accounting. It should all be connected by the second week of March.

At the next Executive Committee meeting, a Post Office Box will be discussed.

4. Legal Report: Eric Weiss
We are still awaiting a reply from IRS on the NPO application.

5. Fundraising Report: Stephanie Segal Hartman
Stephanie expressed special thanks to Juliet and her father for their tremendous assistance with all the mechanics of getting the Fundraising letter out. All present praised Stephanie for its content.
As a next step, a decision will be made on the logo and then we can proceed to look into merchandise and clothing that could be offered for fundraising purposes. The need to look into trade marking the logo was discussed.

6. Scholarship Report: Charlie Ledley
Charlie had nothing to report tonight as he has been busy with the organization’s pressing infrastructure issues. Laura Kasper will be working on the Scholarship application in the spring.

7. Publicity Report: Alex Saltzman
Everything on Track for Fundraiser at Triad on 21 April. West 72nd Street. 3-5PM. Club holds about 150 people.

8. Newsletter/Logo Report: Jackie Keveson and Alex Saltzman
Jackie transmitted 8 different variations on the logo to discuss. Everyone liked the concept but the main issue was the ultimate legibility of a design once it was reduced. The “ gong” as a symbol has everyone’s approval—the trick is getting the text to stand out legibly. Jackie will now re-work the logo with current comments and an online vote will be taken before the next meeting.

9. Web Site Report: Nat Budin
There is a need for a major reworking of the database code. We will leave what we have up and running until code is reworked. We will live with duplicate entries and inability to make e-mailed revisions until the new code is written. David Glaser will assist Nat on the new coding for the d-base interface. Our log-in and mass E-Mail functions are working. The minutes of the last Alumni Council meeting were posted.

10. Membership Report: Catherine Cohen Topp
Catherine re-emphasized the need for a D-Base Coordinator Juliet will be seeking such a person. Fundraising to date has been positive and promising. Some projects are being redefined and reports will be made at future meeting.

11. Events Outreach Report: Lisa Wanderman
All present welcomed back Lisa Wanderman, who has been having to deal with pressing family issues. Lisa is now catching up and will begin focusing on the 60th Reunion. 7/20/2002.

12. Concert Report: Ivan Rubenstein-Gillis
Ivan -- see previous comments on fundraiser.

13. Volunteer Coordinator’s Report: Juliet Ross
Juliet now has information from all committee chairs and has a letter seeking specific volunteers ready to go in near future.

Conclusions

Jeffrey noted with pleasure how many people are working autonomously and FRIENDS OF BUCK’S ROCK is certainly moving forwards. Stephanie completed an on the spot fundraising tally and announced $ 1,355 in contributions plus $ 116 in Pay-Pal.

Gerald Marks (1968-1973) brought some beautiful artwork from the 1969-1971 Silkscreen Shop which we can hopefully exhibit on the Website. Lew Frisch ( 1962-1964) presented group with CD copies made from the 1964 “ A Day At Buck’s Rock” phonograph record that Lou Simon and Paul Reasenberg produced for that years' campers.
